Notifications
We use GOV.UK Notify for handling all of our notifications including text messages to send the OTP during the 2FA process and email notifications to the applicant after any significant event.
To monitor activity or update any messaging templates you will first need a GOV.UK Notify account. Your local authority may already have an account. To find out more about Notify, check this page (coming soon) or contact bops-team@unboxedconsulting.com if you have questions.

Receipt notice mail notification
This notification is sent when PlanX successfully posts the required JSON to create a planning application record in BoPS
This notification is sent when the planning application is made valid after there are no open validation requests
This notification is sent when the planning application has been determined
The decision can be refused or granted which will determine the content of the email notification.
This notification is sent to inform the applicant that the application needs a notice in the press.
This notification is sent to inform the applicant that the application needs a site notice.

Validation change request mail
This notification is sent when the officer requests a validation request change for the planning application. This is only sent after an application has been invalidated
Description change request mail
This notification is sent when the officer requests a description change for the planning application.
This notification is sent when a validation request is created after the validation stage.
Cancelled validation request mail
This notification is sent when an officer cancels a validation request. They are only able to cancel open validation requests.
Validation request auto-closure mail (red line boundary)
This notification is sent when a red line boundary change request has been automatically closed due to the applicant not responding to the request in time.
Validation request auto-closure mail (description change)
This notification is sent when a description change request has been automatically closed due to the applicant not responding to the request in time.

Updates are defined as:
Case has been assigned to you (assigned officer)
Response to validation request (assigned officer)
Response to post-validation request (assigned officer)
Case has been submitted for review (manager group)
Corrections requested on application (assigned officer)
Emails sent to assigned case officer or in the case of manager group to a group email which all managers are subscribed to
If no assigned officer when to be sent to assigned, email isn't sent
Officer should not get alerts for actions they take themselves

OTP SMS notification
When the OTP delivery method is set to SMS, a user will receive a text message with their 6 digit code during the 2FA process.
This SMS template is set up on GOV.UK Notify and the contents can only be changed from here.
When the OTP delivery method is set to email, a user will receive an email notification with their 6 digit code during the 2FA process.

Neighbour consultation letter copy
This is sent to the planning applicant or agent and is a copy of the letter that was sent to people living near the planning site.
